Filips is a hiring platform that helps companies post jobs, review applications, and run screening workflows. This policy explains what information we collect, how we use it, and what choices you have. When we say "we," "us," or "our," we mean Filips.
If you use Filips, you agree to this policy. If you do not agree, please do not use the platform.
1. Who this policy covers
This policy applies to everyone who interacts with Filips, including:
- Employers and recruiters. Company admins, HR teams, and hiring managers who post jobs and review candidates.
- Candidates. People who apply for roles, create an account, or interact with job listings.
- Visitors. Anyone browsing public job pages or our marketing site.
2. Information we collect
What you give us directly
- Account details. Your name, email, phone number, company name, role, password (stored hashed), and profile settings.
- Job and company information. Job titles, descriptions, requirements, locations, deadlines, and other content you publish for hiring.
- Application materials. Candidate name, email, phone, cover letter, expected salary, LinkedIn URL if provided, custom form answers, resume files, optional video introductions, and application status.
- Messages. Anything you send us through support or in-product help forms.
- Billing information. Subscription and payment details handled by our payment providers. We do not store full card numbers on our servers.
What we collect automatically
- Usage and device data. IP address, browser type, device information, pages you visit, and actions you take on the platform.
- Cookies and similar technologies. Authentication tokens, session IDs, and preferences needed to keep the platform working.
- Analytics. We may use tools like Microsoft Clarity to see how people use Filips and to improve performance and usability.
Information from other sources
- If you sign in with Google, we receive profile information based on the permissions you approve, such as your name and email.
- If you connect or share through LinkedIn where that feature is enabled, we process data according to LinkedIn's authorization and what you choose to do on Filips.
- Employers may upload candidate materials, such as resumes, for screening or internal review.
3. How we use your information
We use personal information to:
- Run, maintain, and improve Filips.
- Process applications and send them to the employer for the role you applied to.
- Support AI-assisted features you or your organization turn on, such as resume parsing, scoring, summaries, and interview workflows.
- Keep accounts secure, verify users, and prevent fraud or abuse.
- Send emails you would expect from a hiring platform, like verification, application updates, and interview notices.
- Handle subscriptions and billing when applicable.
- Fix bugs, troubleshoot issues, and build new features.
- Meet legal requirements and enforce our terms.
4. How we share information
We do not sell your personal information. We may share it in limited situations:
- With employers. When you apply for a job, your application goes to the company hiring for that role through Filips.
- With service providers. Vendors who help us host the platform, store files, send email, process payments, run analytics, or handle AI processing. They are bound by confidentiality and security obligations.
- When you enable integrations. For example, social sign-in, messaging, or posting features you choose to use.
- For legal or safety reasons. When required by law, regulation, or legal process, or when needed to protect users, rights, and the security of the platform.
- During a business transfer. If Filips is involved in a merger, acquisition, or sale of assets, subject to appropriate confidentiality protections.
5. AI and automated processing
Filips can use automated systems, including AI, to parse resumes, score or rank applications, generate summaries, and support interview workflows. Employers are still responsible for hiring decisions. Automated outputs are meant to help human reviewers, not replace them, unless an employer sets up their process differently.
6. How long we keep data
We keep personal information for as long as we need it to run Filips, comply with the law, resolve disputes, and enforce our agreements. How long we keep something can depend on the type of data and your employer's settings. Employers can delete or export data through features available in their account.
7. Security
We use technical and organizational measures to protect personal information, including access controls, encrypted connections (HTTPS), and secure storage practices. No system is perfectly secure, and we cannot guarantee absolute security.
8. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, restrict, or object to certain uses of your personal information, and to withdraw consent where processing is based on consent.
Candidates can update profile information in account settings where that option is available. To request access or deletion of application data, contact us or the employer you applied to. Employers control candidate data for the jobs they manage on Filips.
9. International transfers
We may process and store information in countries other than your own. When required, we use appropriate safeguards for cross-border transfers.
10. Children
Filips is not intended for children under 16, or under the minimum working age in your jurisdiction. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. When we do, we will post the new version on this page and change the "Last updated" date. For significant changes, we may also notify you through the platform or by email.
